The consult the desk missed

AI receptionist for med spas

An AI receptionist for med spas is the search when the one person at the desk is with a client and the phone rings. This page books that consult. It does not cover aftercare, ads, or stock.

Set how many rings before the call forwards. If the desk phone is an iPhone, stop Live Voicemail taking the call. Strip treatment details before the message goes into a chat.

Let them book the consult, and you confirm it

Make one Google Calendar booking page for consults, put the link in the voicemail greeting, and use the prompt for callers who still leave a message. You confirm the time. The note does not answer a clinical question or quote a treatment you did not write down.

Write the answers the phone is allowed to give

On one page, write your hours, which consults you book, what a new caller must leave, and this line: a clinical question is written down for the practice. The answer-sheet article linked below is the writing pass. The booking page and the prompt may only say what is on that sheet.

Open a booking page in Google Calendar

Do this on a computer. Google's help says the appointment schedule is not created in the Android or iPhone app.

  1. Open Google Calendar. At the top left, click Create, then Appointment schedule.
  2. Title it with the consult name a caller would recognize. Set the duration.
  3. Set only the hours a person can actually see someone. Click Next, then Save.
  4. On the left, under Booking pages, hover the page and click Copy link.
  5. Call the booking page on your phone and book a test consult. Delete the test.

Put the link in the greeting

The greeting says the booking link, then asks a caller who will not use it to leave a name, a callback number, and which consult they want. It does not discuss swelling, results, or price. The greeting article linked below is the writing pass. Record it and call it back.

Turn a leftover voicemail into a consult request

Paste the transcript under the prompt, in the chat tool you already use. Type the result onto the calendar only after you have looked at it. If they asked whether something is normal, the note says to write it down. You do not send that sentence to the client as an answer.

Paste this, then paste the transcript under it

You turn a voicemail transcript into a med spa consult request.
Use only facts in the transcript. If a fact is missing, write MISSING.

Output:
- Name
- Callback number
- New or returning, or not said
- Consult they asked for, in their words
- Time they asked for, or MISSING

Do not say a reaction, swelling, or result is normal.
Do not quote a price or a treatment that is not under APPROVED below.
Do not give medical advice.
If they asked a clinical question, write: write it down for the practice. Do not answer.

APPROVED:
(paste only the prices and policies you actually offer)

If you would rather have it built

Deeplathe builds custom AI inside the tools a business already uses. For this job, that is the voicemail becoming a booking note in Google Calendar and the inbox you already use, waiting until a person confirms it. Less than a hire, more output. The steps above are the whole fix if you want to do it yourself.

Questions

What does an AI receptionist for med spas do on this page?

It is the search. The fix is a Calendar booking page for the consult, a greeting that shares the link, and a prompt for the voicemail that still comes in. You confirm the time.

Will it answer a medical question or quote a treatment I did not approve?

The prompt forbids both. Clinical questions are written down for the practice. Prices appear only if you pasted them under APPROVED.

Our clients want a person. What about callers who hang up?

Some will. The desk still picks up while you are open and free. The booking page and the voicemail are for the stretch when that person is with a client or the door is locked.

What should a practice require before a tool hears a patient call?

A business associate agreement, no training on those calls, and access controls. Deeplathe does not claim HIPAA compliance. The checklist is on the HIPAA page linked below.
