Approved to ask again

A veterinarian’s name goes here, or nothing moves. Amounts are blanked: nothing published prices these services, so this sheet does not invent one.

People search for a veterinary answering service when a call ends in voicemail and the visit is never booked. The free steps under this sheet turn that voicemail into a booking note for the schedule you already use. You confirm the time. A client said no to the dental, the bloodwork, the radiographs. In the room, at a price, with a reason. The rest of this page is a clerk that keeps that list, and everything she refuses to do on the way.

Sample Street Animal Hospital is made up, and so is every patient, visit and document on this page. The first step is two documents, not a meeting: one estimate where a client declined something and the invoice that followed, with the owner’s name taken off. Preventive care is deliberately not here, because your software already chases it.

37%
of US dog and cat owners visited the veterinarian in the past year and declined one or more recommendations.
22%
declined a diagnostic procedure, the item most often refused.

PetSmart Charities and Gallup, State of Pet Care, owner wave (published 15 April 2025). 2,498 US dog and cat owners, probability-based Gallup Panel, ±2.6 points. Funded by PetSmart Charities. Read 20 September 2026.

Do this yourself

The free steps for this one job

A veterinary answering service is what you search when the desk misses a call and the visit never gets booked. These steps do that one job: the voicemail becomes a booking note for the schedule you already use, and you confirm the time.

Turn the missed call into a visit you confirm

The greeting asks for a name, a callback number, the pet's name, and what they want to book. The transcript arrives in email. The prompt writes a note. A person books the visit in the schedule the clinic already uses. The note does not decide whether the pet should be seen today.

Get the missed call as text

  1. If the clinic number is Google Voice, open voice.google.com, click Settings, then Voicemail, and turn on Voicemail transcripts and Get voicemail via email.
  2. Call from a second phone and check that the email matches the message.
  3. Record a greeting that asks for the four facts and nothing about care. The greeting article linked below is the writing pass.

Turn the transcript into a booking note

Paste the transcript under the prompt. If the clinic's rule is that a chat tool must not see a client's name or number, strip those first and put them back only in the schedule you already use.

Paste this, then paste the transcript under it

You turn a voicemail transcript into a clinic booking note.
Use only facts in the transcript. If a fact is missing, write MISSING.

Output:
- Name
- Callback number
- Pet name, or MISSING
- What they asked to book, in their words
- Time they asked for, or MISSING

Do not say whether the pet should be seen today.
Do not give care advice.
Do not quote a fee.
If they described a pet getting worse, write: hand their words to the clinic unchanged. Do not decide.

Book it in the schedule you already run

Open the appointment book the front desk already uses and enter the visit from the note. You choose the time. If the note says to hand their words to the clinic unchanged, do that before you look for a slot.

If you would rather have it built

Deeplathe builds custom AI inside the tools a business already uses. For this job, that is the voicemail becoming a booking note in the schedule and the inbox the clinic already uses, waiting until a person confirms it. Less than a hire, more output. The steps above are the whole fix if you want to do it yourself.

What owners told Gallup

71%
of those who declined care or skipped a visit named cost as the key factor.
73%
of those who turned care down over cost say they were not offered a more affordable option.
23%
of owners say a veterinarian has ever offered them a payment plan.

Veterinarians remember it differently: 19% of veterinarians say they always offer a payment plan when a client declines over cost. Another 22% say often.

Nobody publishes how many clients say yes the second time, so this page gives no figure. A month on your own list is the only way to find out.

Visit, 33 days agoAsked for at day 28Appointment followed

Built from two things your system already emails: the discharge sheet and the appointment confirmation. Where no confirmation follows the date a veterinarian wrote, the row appears. All five here are made up.

Now ask her to guess

A manager’s fair question: which other patients probably need a recheck, going by what they came in for?

The supervising veterinarian “shall make all decisions relating to the diagnosis, treatment, management and future disposition of the animal patient.”

16 CCR §2035(b) and (c). California regulation. Read 20 September 2026.

Whether an animal should come back is one of those decisions. So a row exists only where a veterinarian wrote it down, in the words they wrote, and the clerk is given no diagnosis to reason from.

What a person still does

  • The front desk calls and finds the time. The clerk keeps the list and the days.
  • A veterinarian decides anything the written words do not already say.

No figure here. Nobody disinterested publishes how often an ordered recheck goes unbooked, so this page gives none. California’s rule is quoted; other states were not checked.

The demo supplies no veterinarian, so the signature lines stay empty. Try the second button as often as you like.

What the signature costs you

30 min of a veterinarian’s month, which is $34.39 of wage at $68.78 an hour.

30 items × 60 seconds ÷ 60 = 30.0 minutes. ÷ 60 × $68.78 = $34.39. The seconds are your guess, not our measurement.

US Bureau of Labor Statistics, Occupational Employment and Wage Statistics, May 2025, Veterinary Services (NAICS 541940). Government wage survey. Mean hourly wage, employees only, before benefits and payroll tax. Read 20 September 2026.

Why it cannot be switched off

“The supervising veterinarian shall have examined the animal patient prior to the delegation of any animal health care task to an R.V.T., permit holder or veterinary assistant.”

16 CCR §2035(b) and (c). California regulation. Read 20 September 2026.

Choosing which recommendation goes back in front of a client is a decision about that patient, and in California those are the supervising veterinarian’s. Other states were not checked. So the sheet is the product, and the send button is here to show there is no way around it.

What an unlicensed party may say in your building, and three California penalties.

The text of the rules, what each means for anything you buy, and citations where the words were part of the charge.

The text, and what it means for anything you buy

  1. A registered veterinary technician shall not perform “diagnosis and prognosis of animal diseases” or “prescription of drugs, medicines, or appliances”.

The best-credentialed non-veterinarian in the building cannot do it, so no software can.

    16 CCR §2036(a)

    16 CCR §2036(a). California regulation. Read 20 September 2026.

  2. The supervising veterinarian “shall make all decisions relating to the diagnosis, treatment, management and future disposition” of the patient.

    16 CCR §2035(b)

    16 CCR §2035(b) and (c). California regulation. Read 20 September 2026.

  3. “The supervising veterinarian shall have examined the animal patient prior to the delegation of any animal health care task to an R.V.T., permit holder or veterinary assistant.”

There is no such thing as pre-visit triage by a delegate. Not a nurse, not a receptionist, not a product.

    16 CCR §2035(c)

    16 CCR §2035(b) and (c). California regulation. Read 20 September 2026.

  4. A person practices veterinary medicine who “uses any words, letters, or titles in such connection or under such circumstances as to induce the belief that the person using them is engaged in the practice of veterinary medicine”. That use is “prima facie evidence of the intention”.

The name and the label on an AI in your building are inside that sentence.

    Cal. BPC §4826(h)

Cal. Business and Professions Code §4826(h). California statute. Read 20 September 2026.

  5. The Board may revoke or suspend a license, or fine its holder, for “aiding or abetting in any acts that are in violation of any of the provisions of this chapter”.

The license in the charge sheet is yours, not your vendor's.

    Cal. BPC §4883(j)

Cal. Business and Professions Code §4883(j). California statute. Read 20 September 2026.

Three penalties, words in every charge

  1. $22,000April 2026

An unlicensed person advertised on a practice’s website as a licensed veterinarian, displayed a relative’s license as their own, and examined, diagnosed, prescribed for and operated on animal patients.

    Cal. BPC §§4825, 4826(a) to (d)

  2. $17,500May 2026

An unlicensed person sedated a horse and performed a dental operation on it, and claimed to be a licensed veterinary assistant and dental technician without holding a registration.

    Cal. BPC §§4825, 4826(c) and (d), 4839.5, 4853(a)

  3. $7,000April 2026

An unlicensed person gave an animal a controlled sedative, and was cited for a LinkedIn profile claiming a veterinary license and using the title “Veterinary Technician”.

    Cal. BPC §§4825, 4826(a) and (c), 4836, 4836.1(b), 4839.5

Citations issued by California’s own board. The individuals are not named here. The amounts and the conduct are the point.

The license in the charge sheet is yours, not your vendor’s.

Which is why the clerk on this page has no clinical title, no bio, no “Dr”, and says she is software in her first sentence.

A reading of California’s text. Other states differ, nobody here is a lawyer, and this is not legal advice.

What actually happens

Two documents, and you will know whether this is worth anything.

Not a demo call. One estimate and one invoice from a visit where somebody said no, with the owner’s name removed, tells us more than an hour of talking.

  1. Two minutes

Forward one estimate where a client declined something, and the invoice that followed it. Take the owner's name off first. We do not want it and will not keep it.

    You send. Nothing is installed.

  2. What it answers

Whether the difference is there in your own paperwork, and how often. If your estimates and invoices match, there is nothing here and we will say so.

    Costs you the two minutes.

  3. If the list is real

A working ledger on a month of your own documents: what was recommended, what was never billed, and an approval queue a veterinarian signs. Before you pay anything.

We build it. You look at it.

  4. If you keep it

If you want the declined list kept for you, that is a custom build on your own estimates and invoices. You see it working before you pay.

A veterinarian approves every item. Always.

Four things it does not do

  • It does not assess an animal, sort by urgency, or decide who needs to be seen. A veterinarian who has examined the patient does that, and nobody else may.
  • It does not send anything to a client. There is no operation for it. The button on this page exists to show you that it refuses.
  • It does not chase preventive care. Your practice software already does, and a second voice asking for the same vaccine helps nobody.
  • It is not a receptionist, a technician or a nurse, carries no clinical title, and says it is software first.

The honest part

Nobody can tell you how many of those clients come back when you ask again. No survey publishes it, and a number here would be invented.

Your own two documents are the cheapest way to find out whether the list is even long enough to matter.

Send the two documents

Or book fifteen minutes if you would rather talk first.

Veterinary answering service

Does it answer after hours?
You pick up when someone is free. When the call goes to voicemail, the free steps on this page turn the transcript into a booking note. You confirm the time in the schedule you already use.
Can it book and reschedule appointments?
The note lists what the caller asked to book. A person at the clinic enters the visit. The note does not decide whether a pet should be seen today.
How does it hand off to staff?
The booking note is what the front desk reads. A veterinarian approves anything sent about care, including the declined-care follow-up further down this page.
What does it not do?
It does not give clinical advice, and it does not send anything about care without a veterinarian's name.

Veterinary answering service

The missed call becomes a booking note for the schedule you already use. You confirm the time. Declined-care follow-up stays further down the page. Nothing about care is sent until a veterinarian puts their name to it. Set how many rings before the call forwards, keep private details out of the chat, and send the unpaid invoice reminder only after the visit is closed.
