Prepared for US pest control companies that do termite work

Pest control answering service, 24/7.

We build and run your website, and an AI clerk made for your termite company. It counts the days on every report, answers agents and escrow from the record, checks the gates before a tent, and sets renewals paid against inspections done. It never says what a finding means.

    Where we read it

Gold: a person did it. Dashed ring: the count is running. White ring: due today. Red: the count ran out. Business days here skip Saturdays, Sundays and Labor Day; the statute does not define the term, so which holidays count is settled with you before anything is built.

Not in California? What we have read

Read in full. The seven counts on this sheet are California's.

  • The report is "prepared and delivered to the person requesting the inspection and the property owner, or to the property owner's designated agent, within 10 business days from the start of the inspection".

    Cal. Bus. & Prof. Code §8516Read 20 Sep 2026
  • A missed address filing "is grounds for disciplinary action and shall subject the registered company to a fine of not more than two thousand five hundred dollars ($2,500)".

    Cal. Bus. & Prof. Code §8516Read 20 Sep 2026
  • Reports, field notes and activity forms are kept three years, and copies go to the board "upon demand within two business days".

    Cal. Bus. & Prof. Code §8516Read 20 Sep 2026

Not read: the board's filing fee, and any date written into a purchase contract.

A person still

A licensed inspector inspects and signs. Your office delivers and files. The clerk counts, and stamps a step only when the office says a person did it.

The phone log

Closing week. The phone knows it.

Where the contract or the lender calls for a termite report, the seller's side hands it to the buyer before title transfers. So agents and escrow ring you for it, and for the clearance. Status comes off the record. A finding goes to your licensee, written down word for word.

What the clerk says back

For 412 Elm St: the inspection report went to the person who ordered it and to the owner's agent on Wed 16 Sep. The work was completed on Fri 18 Sep, and the notice of work completed has not been issued yet, and the count for it ends Fri 2 Oct. With closing on Fri 25 Sep, the office has it at the top of today's list. A person there sends the documents.

The slip is composed from the file. Otis, in the corner, answers live.

Why they ring: “As soon as practical before transfer of title”, the seller's side “shall deliver to the transferee a copy of a structural pest control inspection report”, where a report “is a condition of the contract” or “a condition of financing”.

Cal. Civ. Code §1099Read 20 Sep 2026

What escrow calls the clearance, the statute calls a certification: “a written statement by the registered company” on “the absence or presence of wood-destroying pests or organisms”. It is your company's to give, so the clerk never tells anyone a house is clear.

Cal. Bus. & Prof. Code §8519Read 20 Sep 2026

Why the clerk stops at status: nobody may “sign, issue, or deliver any documents expressing an opinion or statement relating to the absence or presence of wood destroying pests or organisms” before an inspection by a licensed Branch 3 field representative or operator.

Cal. Bus. & Prof. Code §8516Read 20 Sep 2026

A person still

Anything about a finding, a treatment, safety or price is answered by a person. Only your company certifies a property, and documents go out from your office, never from the clerk.

Sheet 03 of 07

The tent-day sheet

Tent day: five gates, all of them outside your office.

A crew stands down over a gas meter that is still on or a signature nobody collected. Whether your own crew tents or you sub it out, the release waits on the same five, each counted back from the hour the fumigant is released.

Board dayMon 21 Sep 2026

  1. Gas shut-off bookedEnds with: The gas utility

Last day Wed 23 Sep: 2 business days before the release. Nobody has booked the shut-off.

Since 28 October 2002 a fumigation contractor may not shut off or restore the gas meter. Only the utility does it, and SoCalGas asks for a minimum of two business days' notice to close service.

Cal. Public Utilities Commission, Resolution G-3344 (8 May 2003)Read 20 Sep 2026SoCalGas, How to Prepare for FumigationRead 20 Sep 2026 through a search index; the utility's site blocks automated readers

  2. Notice to the county agricultural commissionerEnds with: The county

Last day Thu 24 Sep: 24 hours before the release. Not given yet.

Notice to the commissioner "shall be given at least 24 hours prior to the time fumigation begins, unless the commissioner determines that less time is sufficient".

    Cal. Bus. & Prof. Code §8505.5Read 20 Sep 2026

  3. Occupant notice signed, every occupantEnds with: The occupants

Done Thu 17 Sep, on the office's word.

The prime contractor "must possess an Occupant Fumigation Notice and Pesticide Disclosure form (Form number 43M-48...) signed by the occupant, if any, or owner or owner's agent". In a multi-unit building the owner or manager may collect the signatures.

    Cal. Code Regs. tit. 16, §1970.4Read 20 Sep 2026

  4. Occupants confirm the prep sheetEnds with: The occupants

Done Fri 18 Sep, on the office's word.

No statute here. This is your own prep sheet: keys, food bagged, plants out, pets gone. The crew's day depends on it all the same.

  5. Notice to the fire departmentEnds with: The fire department

Last day Fri 25 Sep: 2 hours before the release. Goes in on the morning of the release.

Notice to the fire department serving the area "not less than two hours prior to the time fumigation begins".

    Cal. Bus. & Prof. Code §8505.5Read 20 Sep 2026

The gates are California's, with a Southern California gas utility. Florida has its own: “Each licensee, before performing general fumigation, shall notify the department at least twenty-four (24) hours in advance of the fumigation period.” Fla. Admin. Code r. 5E-14.110Read 20 Sep 2026

A person still

People book the gas, give the notices and collect the signatures: your office, or the fumigation company you sub the tent to. The statute has the fumigator give both notices. The licensed fumigator alone certifies re-entry, and the clerk never says when it is safe to go back in.

Sheet 04 of 07

The renewal book

Paid in August. Inspected never.

Your software sends the renewal notice and takes the payment. This sets every renewal paid against the inspection it promised, with each attempt to schedule written down.

  • California. A control service agreement states "the frequency of the inspections to be provided, the fee to be charged for each renewal", and a full inspection with a filed report is due "at least once every three years".

    Cal. Bus. & Prof. Code §8516Read 20 Sep 2026
  • Alabama. The year's inspection is relieved only on "a reasonable effort to schedule": a signed letter from the owner, or the company's letter that the inspection "is available upon request by scheduled appointment". The record is kept while the contract is in force.

    Ala. Admin. Code r. 80-10-9-.16(5)Read 20 Sep 2026
  • Georgia. A warranty-only termite contract "shall include ... an annual inspection of the structure", and each inspection report goes to the owner and is kept two years.

    Ga. Comp. R. & Regs. r. 620-6-.02(4)(c), (5)Read 20 Sep 2026

A person still

A licensed inspector does the inspection and signs the report. Whether a claim is covered is never the clerk's to say.

What you already own

What pest control software already sells you.

Deeplathe answers calls, books the job, and handles reschedules, 24/7. We read what the field-service software and its add-ons already do before writing the other rows.

  • Filling in the state's inspection report and completion notice forms

The platforms we read load the national form and the state forms, California's included.

    XBundled. You have it

  • Uploading inspected addresses to the Structural Pest Control Board

The board takes a file exported from a termite report program, or entries typed in by hand. Specialist programs do the export.

    XSold separately

  • Chemical records and state pesticide use logs

Recorded per job in the platforms we read, which also produce the state usage logs.

    XBundled. You have it

  • AI that answers calls, texts and web chat and books jobs

Also offered by the platforms or by partners in their app marketplaces. Deeplathe answers, books, and reschedules, 24/7.

    XSold separately

  • Renewal billing, renewal notices, reminders and route planning

Standard in the platforms we read. The notice goes out; whether the inspection it promises was done is a different list.

    XBundled. You have it

  • One register of every open file against its deadlines, escrow answered from it, the tent-day gates, and renewals paid set against inspections done

Not on any vendor page we read, which is not proof it exists nowhere. This is the part we build.

    XNot found

Questions an owner asks first

My software already does a lot of this.

A lot of it, yes. The field-service software and termite report programs we looked at fill in the report and completion forms, keep chemical records and state usage logs, send reminders and renewal notices, and plan routes. What we did not find on the pages we read: one register of every open file against its deadlines and the closing date, the agent's call answered from it, the tent-day gates counted back from the release, and renewals paid set against inspections done.

Will it tell a caller what treatment a house needs?

No. What a finding on the report means, whether a house needs fumigation, and what a pesticide will do are questions for a licensed inspector. In California a termite inspection has to be made by a licensed Branch 3 field representative or operator. It says so, writes the question down, and passes it to your licensee.

Does it file with the Structural Pest Control Board for us?

No. Filing stays with your office and your termite report program. It shows every address not yet filed and how many business days are left, counted from the start of the inspection or from the finished work.

Where do the records come from? Do we have to change software?

No. The records come from an export of the software you already use, or from your own spreadsheet. We do not replace your field-service software or your termite report program. Before anything is built we read the rules of the state you work in and settle with you which holidays count as business days. We have no pest control clients yet, and we would rather say so.

Is this only for California?

No, but the seven counts on the register are California's, read from its statutes. We have also read the national form used for FHA and VA sales, Florida's and Texas's report rules, Florida's fumigation notice, and Alabama's and Georgia's rules on the yearly termite inspection. Beside each rule the page says where it was read, and what we did not find. For any other state we read its rules before building, and we do not assume they match California's.
