Quote checklists
Generate a quote worksheet without shipping code
Use Canvas, Artifacts, or a custom GPT as draft UX. Rates stay blank until a person checks them.
The front desk needs a checklist they can tick, and the estimator needs blank price lines. You do not have a developer, and a wall of chat text will not get used on a phone in a truck.
The short answer
The sequence below is the control path: same vendor pages, same prompts, product names kept exact.
Have the tool build a small worksheet beside the chat, then click every path yourself before anyone trusts a number. ChatGPT does this with a custom GPT, Canvas, or a writing block. Claude does it with an Artifact. Gemini does it with Canvas. Every price cell stays blank or labeled [NEED APPROVED RATE] until it matches your rate sheet.
Why a polished screen still lies
A tidy form looks finished. The model will happily put a "standard" trip charge in a cell you never approved. The worksheet is a draft of the shape. The rates stay yours.
ChatGPT: custom GPT, Canvas, or a writing block
Confirm the surface in OpenAI's current help. Menus move.
- Custom GPTs. A reusable helper with standing instructions and optional knowledge files. Creating and publishing is gated to Business, Enterprise, and Edu on the current help. Other plans can use a GPT shared with them.
- Canvas. A side surface for a longer draft. Ask it to "use canvas." Availability can vary by model and rollout.
- Writing blocks and code blocks. Fine for a simple checklist when Canvas is not in the account.
Prompt: "Create a residential service quote worksheet. Sections: customer basics, scope checklist, labor and materials lines, exclusions, next ask. Do not invent prices. Leave price cells blank or labeled [NEED APPROVED RATE]."
Claude Artifacts
Artifacts are interactive outputs beside the chat: a document, a simple app, or a worksheet you can iterate. Availability depends on the plan. Confirm it in Claude's help for your account.
Good first jobs: an opening or closing checklist, a quote worksheet with blank rate cells, a job tracker with no customer secrets in it, a training quiz built only from an SOP you already verified.
If you already have a Quotes Project, open the Artifact from that project so the rate rules are in the room. See saved workspaces.
Gemini Canvas
Create docs, apps, and more with Canvas: on a computer, go to gemini.google.com, choose Canvas under the prompt box, describe the worksheet, and submit. You can edit the text yourself. Changes auto-save. Share & export can send the text to a new Google Doc.
Gemini Enterprise documents a separate Canvas with an administrator toggle. That is not the same surface as Canvas in Gemini Apps. Use the one the seat actually has.
Same prompt as above. Export the keeper to a Doc the crew already opens.
Which to pick when
- You want a named helper the crew opens every time, and you can create GPTs on your plan → custom GPT
- You want a one-off worksheet you click through beside the chat → Claude Artifact or ChatGPT Canvas
- The team already works in Gemini and should land in a Google Doc → Gemini Canvas, then export
- You are unsure which button exists → ask the tool for a checklist in plain text first. A list the crew can tick beats a surface you cannot find.
Click-through before anyone uses it
- Open the surface your plan actually has.
- Run the prompt. Do not invent prices.
- Click through as if you were quoting a real job. Note confusing labels.
- Tell it to fix only those labels. Keep the blanks.
- Copy the structure into the doc, sheet, or job note the team already uses, or keep the Artifact or Canvas for internal drafts if the plan supports it.
- Have one estimator check it against a past job you already sent.
What it is not
- Not your scheduling system or your books.
- Not correct because the layout looks finished.
- Not a place for card numbers, health details, or passwords.
- Not done until a person who does the job has clicked every path.
- Not a substitute for a multi-page narrative. That job is long-document writing.
Example (illustrative): a med spa front desk
Problem: the closer checklist lives in one person's head. What was built: a Canvas checklist exported to a Doc, with no prices on it. Tools it lives in: Gemini Canvas, then a Google Doc. Owner still does: adds any price by hand from the rate sheet. Payoff: not measured.
Mistakes and limits
- Default numbers that do not match an approved rate.
- A fake "standard discount" in the exclusions.
- Baking a real customer into the sample.
- Shipping the Artifact as the system of record.
- Confusing Gemini Enterprise Canvas with the Canvas button in Gemini Apps.
Doing this inside the tools you already use

FAQ
Do I need to know how to code?
No. The prompt asks for a worksheet. If the tool offers code, ignore it and ask for a checklist the crew can tick on a phone.
Can I put our real rates in the file?
Only rates you already approve, and only in an account you have cleared for that file. Otherwise leave [NEED APPROVED RATE] and copy the number from the rate sheet at send time.
Which surface is free?
It depends on the plan and the rollout. Open the help articles linked above for the account you have. Do not buy a plan from a blog sentence.
The worksheet looks done. Can the crew send it?
Not until a person checks every price, exclusion, and blank against the real job.
Keep these
- Blank or
[NEED]for every price you did not approve. - Click every path before the floor uses it.
- Copy the keeper into the tool the crew already opens.
- One estimator checks it against a job you already sent.
